This page explains how the Bright Tutoring Academy (BTAC) portal handles information used to coordinate tutoring. It covers this website and portal, alongside our terms of service.

Information in the portal

Account information includes names, email addresses, phone numbers, account roles and approval status. Tutor applications may include location, education, subjects, experience, transport information and a biography. Student records may include school, grade, learning needs, preferences, contact details and notes supplied to support tutoring. The portal also stores relationships, session attendance and reports, grades, correction requests, invoices and payment records.

Website enquiries include your name, phone number, email and message. A one-way request identifier helps limit spam. Enquiries are visible to the BTAC administration team so they can respond.

Why information is used

BTAC uses these records to review tutor applications, coordinate tutoring, communicate student progress, manage billing and control account access. Please provide only relevant information. Parents and guardians should coordinate the information supplied about their children; the portal does not provide a separate student registration flow.

Who can access records

Access depends on account role and tutoring responsibilities. Tutors use assigned student and session records, parents use their family’s progress and published invoices, and staff manage the operational records relevant to their role. Information shared in session reports can be seen by the family. Do not include confidential staff-only remarks in those reports.

Service providers and essential storage

BTAC uses Vercel to host the web application and Supabase for accounts and database services. Those providers may process technical information needed to operate and protect their services. Authentication uses cookies or browser storage to maintain your session and support sign-in and password recovery. The current application does not include advertising trackers, a marketing analytics integration or a card-payment gateway.

Read the providers’ notices: Vercel privacy policy and Supabase privacy policy. Service-provider processing can involve locations outside your country.

Optional AI help and reviewed tasks

The Beta assistant helps signed-in users find pages and understand the steps available to their account role. After you accept its first-use notice, your question and the approved instructions for your role may be sent to Vercel AI Gateway and its model provider (Alibaba Qwen by default). The AI provider does not receive student records, grades, invoices, page contents, account identifiers or previous chat messages. The assistant can open pages and offer approved task forms. Selections in these forms stay within BTAC; the app checks your permissions and requires confirmation before saving a supported task. Please do not type names, contact details, passwords, student information or financial records into the chat. Automatic checks cannot detect every kind of personal information.

BTAC does not save chat questions or replies in its database. Recent request times and a monthly request count are stored to enforce usage limits. Prepared task details are stored to validate your confirmation and prevent duplicate actions. Completed actions are recorded in the activity history. The AI connection requests providers that do not train on prompts; this does not guarantee zero retention of technical records by service providers. When AI is unavailable, the same chat can offer built-in navigation guidance without sending the question to an AI provider. AI can make mistakes; check the page and instructions before taking any action.

Reviewed progress reports

Administrators and assigned managers can prepare dated progress reports from selected sessions and assessments. A reviewed report preserves the observations and conclusions as they were recorded at that time. Corrections create a new version. Parents can see reports deliberately shared with their account; sharing can be withdrawn by authorized staff. Educational comments included on parent invoices are reviewed before publication.

Keeping and correcting records

Operational records remain in the system until removed by an authorized administrator; the current application has no automatic retention or deletion schedule. Contact your BTAC coordinator to request access to, correction of, or deletion of information about you or your child. Some records may need to be retained for billing, recordkeeping or legal obligations. Account deletion and data exports are not currently self-service features.

Account security and questions

Use a strong, unique password and sign out on shared devices. Contact your BTAC coordinator or administrator if you suspect incorrect access or have a privacy question. This page should be reviewed when BTAC changes its data practices; the date above identifies this version.
